Available Services

Conference Calls

To set a conference call with four (4) or more parties calling in or being called, Submit a Work Request, or dial 0 for Operator assistance. Please include the names and phone numbers including area code of each of the parties, and list the originator of the call (the person responsible for the long distance charges for this call). The call will be set for the day and time you specify by the Conference Operator from AT&T. We will need 24 hours notice in order to set this up with the Conference Operator.


Installation & Moves

To have a telephone installed or moved, you will need to Submit a Work Request. Please be sure you include the name of the Director/Chair of the Department, who must approve long distance privileges. Also, please allow three (3) business days for completion of request.


Long Distance Services & Calling Cards

For long distance privileges, you must get approval from the Department Chair/Director and Submit a Work Request. The department approving the request will be responsible for all charges made on the phone.


Voice Mail Services & Broadcast Messages

Voice Mail Service is provided at no charge to the Faculty and Staff.  To receive voice mail, Submit a Work Request in order for this service to be activated. You will receive instructions on how to use the voice mail from the PBX Administrator.

A Broadcast Message is designed to inform either a select group or everyone with Voice Mail about an important college related event or message. The use of broadcast messages does require approval from the Dean's office prior to usage. Therefore, please call the Dean's Office for permission before placing a Broadcast Message. Once you have received approval, please either contact the PBX Administrator for instructions or see the Telephone Services FAQ below.

Telephone Services FAQ

HOW DO I TRANSFER A CALLER INTO AUDIX?*
1. On a multiline voice terminal
-Press Transfer button
-Dial Access Code *7
-Press Transfer button again
 2. On a singleline voice terminal
  -Press Recall button/or Flash

HOW DO I SEND MY CALLS DIRECTLY TO MY VOICE MAIL? (You will hear a short ring or half ring when in this mode)
1. At dial tone
-Press *3
2. To disengage send-all calls-to-voice mail (at dial tone)
  - Press #3

HOW DO I FORWARD MY CALLS TO ANOTHER TELEPHONE?
1. At dial tone
-Press *2
-Enter 4-digit extension (where you are forwarding to)
-You will hear beep beep beep
-Hang up
 2. To cancel call-forwarding
  -Return to terminal that is
forwarded
-Press # 2
-You will hear beep beep beep
-Hang up

HOW CAN I BY-PASS LISTENING TO THE GREETING ON VOICEMAIL? (Please be careful when using this function, sometimes there are important changes in a greeting that you would miss.)
1. When greeting starts
-Press 1

WHY CAN'T I PLUG MY PHONE INTO ANOTHER JACK AND HAVE IT WORK?
Every jack has a separate port assigned to it and each extension number requires a port. Therefore, the port assigned to your extension must be moved with the phone to make it work. This move has to be performed by the telephone administrator.

ARE THERE ANY CHARGES FOR TELEPHONES OR PORTS?
Yes there are charges for phones that are other than a basic single line set. These charges vary with different sets and features. You will need to pay a port charge when adding a new line. However, there is no port charge for moving a line. Please contact telephone administrator for current charges and instructions on preparing an interdepartmental charge ticket.

I AM MOVING INTO A NEW OFFICE TODAY, WHY CAN'T MY TELEPHONE BE MOVED WITH ME TODAY?
Telephone moves frequently require the use of an Avaya service technician. Therefore, if you want your telephone moved the same day that you are moved it will be necessary to submit a Telephone Installation/Change Form at least three days in advance of your move.

CAN I TRADE IN MY CURRENT TELEPHONE FOR CREDIT ON A NEW PHONE?
Any time a telephone is removed it is returned to Avaya for refurbishing and warranty renewal. This is a requirement of our maintenance agreement and making exceptions could result in the voiding of our service contract. Therefore, we do not give credit for used sets that are returned.

CAN AN INDIVIDUAL HAVE MORE THAN ONE VOICE MAIL BOX PER TELEPHONE LINE?
Hardware and software limitations make it next to impossible to install more than one voice mailbox per port (line). Consequently, we are unable to accommodate more than one box per line at this time.

CAN I CALL DIRECTORY ASSISTANCE (1411) DIRECTLY FROM MY TELEPHONE?
At the present time direct dial Directory Assistance has been restricted due to abuse. However, you can call the Switchboard Operator for a connection to Directory Assistance. Please understand that your department will be charged the actual cost for this service.

SOMETIMES MY PHONE RINGS A SHORT RING. WHEN THIS HAPPENS I AM UNABLE TO ANSWER IT. WHY DOES THIS HAPPEN?
This sound indicates that you have your telephone forwarded to another extension or on send all calls to voice mail. To remedy this you will need to cancel call forwarding by lifting your receiver and dialing #2 to disengage it. To cancel send all calls to voice mail you will need to lift your receiver and dial #3 to disengage it. When disengaging either option you will hear 3 short beeps on the receiver to confirm the change.

CAN I PURCHASE A TELEPHONE FROM AN OUTSIDE SOURCE AND INSTALL IT AT THE COLLEGE?
Our maintenance agreement specifically prohibits the installation of third party equipment. The reason for this is that many times a problem on the system can be traced to an individual telephone set. Consequently, if the set is not the vendor's product they have the option of charging time and materials for related repairs. Therefore, we do not allow installation of third party equipment.
